Exabytes - Mail Server Upgrade (Must Read)

We are very excited to announce that we will perform a major upgrade exercise for the mail server as listed below which your email service for domain name / Reseller account as mentioned above are currently hosted on.

This upgrade exercise includes:

- Splitting the mail server into 2 servers. That means fewer domains per server.
- Changing the mail server software from MailEnable to SmarterMail. We have being using SmarterMail for over 1 year on our other Windows hosting cluster and SmarterMail is proven to be more stable, more reliable and also more scaleable.

SmarterMail also comes with tons of great features; some of the features are highlighted as below:

Mail Server Upgradesâ¬" Steps and Procedures
================================
This upgrade exercise will be performed by our senior system engineers. You may sit back and relax during the upgrade. Below are the outlines of the steps involved.

1. We will extract a list of your existing email users under your domain(s) and import to the new SmarterMail server. Email address, Login ID and Password will remain unchanged.
2. Upon successful creation of your email users on the new SmarterMail server, the IP address for the mail server will change for certain users. As we are splitting to clients from 1 server to 2 servers, half of the domains will be assigned with new IP for the new mail server.
3. If you are using mail.YourDomain.com as your POP3, SMTP, IMAP or Webmail, that wonâ¬"t be any problem as we will update your domain DNS record to the new IP. If you are currently connecting to our mail server using IP address, we recommend you change to mail.YourDomain.com.

Things to take notes
================================
1. If you keep all your emails on your Webmail, you are advised to download a copy of your emails to your local Email Client. You may configure your email accounts on email clients such as Microsoft Outlook, Outlook Express or ThunderBird (FREE).
2. Mailing List feature will be disabled after we upgrade to SmarterMail. If you need mailing list feature, you may consider subscribe to Exabytes EBuzzzz service (hosted mailing list).
3. Catch all email account will be disabled after the migration. This will eliminate significant amount of incoming SPAM emails.
4. We will migrate the emails which you stored on your Webmail to the new SmarterMailâ¬"s Webmail. However, this process might take up to 1 week as the numbers are huge and we need to perform the conversion of emails in batch. Thus, for users who has important emails store on the webmail, we recommend you to download a copy to your local mail client as stated above.
5. Any custom settings on your domainâ¬"s email settings which is done out side HELM control panel, will not be replicated over to the new server. This includes Display Name, Email Signature, Auto Response, Email redirection and Email Filtering,
6. If you relay your emails via your internal office mail server, please make sure you have enabled â¬SSMTP Authentication⬝.
7. Meadmin feature will be disabled after the upgrade. You will be able to set maximum disk quota per mailbox via HELM control panel after we upgraded to HELM version 4.
8. Maximum email space per domain is limited to 1GB for EBiz1 , 2GB for EBiz2 and 3GB for EBiz3 Windows 2003 share hosting package as per listed on our web page http://www.exabytes.com/products/hosting/windows/more.html . Default maximum email space per mailbox is 200MB.

You may confirm the maintenance date of your domains by identify which mail server your domain name is hosted on. To do so:

i) open your command prompt (Start > Run > Open cmd > Run)
ii) ping mail.YourDomain.com

You will know what your mail server IP is from the Ping result.

We have completed the rebuild of the domains from Mailenable to Smartermail for the mail server Jupiter ( 72.18.132.21 ) to 2 Smartermail mail server. We have applied new MX IP for the 2 Smartermail mail server as follow:

Domains started with A - K ( including 0 - 9 ) are hosted on 72.18.132.194 ( Server Name : Nebula )
Domains started with L - Z are hosted on 72.18.132.196 ( Server Name : Asteroids )

You may know your mail server IP by launching the command prompt in Windows and initiate the following command:

ping mail.yourdomain.com ( replace yourdomain.com with your actual domain name )

Users may access the web mail using the following method:

mail.yourdomain.com
webmail.yourdomain.com

We have also started the data conversion for Mailenable messages to Smartermail at 6.30AM GMT-0700 11 Nov 2006. ETA of the full transfer of the mail messages over is 2-3 days of times.

Users may now manage their email account via Helm control panel as we have synced the username and password into the Helm database.

As part of the mail server upgrade process, all the emails on Mailenable has been copied over to Smartermail mail server. However, the conversion by Smartermail to its own recognized format is still running on the mail server background currently. Thus, user may experience service interruption on accessing webmail and connection via SMTP / POP3 session. We expect the conversion to fully completed in 1-2 days time. Sorry for any inconveniences.
